As Soft Facilities Expert, you are part of the CoC Facilities Management Building (Center Of Competence) team and report to the Manager expertise FM. As a centre of competence, we support the operational teams within Facility Services that maintain and keep operational bpost's more than 800 buildings. We also use the service contracts to ensure a framework in which the external parties, who take care of both the technical and hospitality services, can provide the expected service. As CoC, we are also the point of contact for operational compliance and guide transformation processes within our department.

You will be responsible for developing the Soft Facilities strategy and monitoring the related result areas. You take ownership of the awarded contracts. Both in the purchase phase, implementation, phasing out and operational follow-up. As an expert within this domain, you become the central point for all parties involved in the management and execution of the contract. So that facilities services can continue to be guaranteed within bpost regardless of the phase the contracts are in. You provide guidance and support for changes at the operational level, in line with the Soft Facilities strategy.

Your mission

  •      As Soft Facilities Expert, you will be responsible for the management and maintenance of all non-technical facilities in an organisation. Think of cleaning, catering, hospitality, waste management. You ensure that these facilities meet the set standards and requirements and that they function optimally. You coordinate and monitor contract management with external facility suppliers;
  •       You objectify and evaluate the performance of service providers within the vendor management framework that you set up for this purpose;
  •       You set out the strategy together with procurement for future soft facilities procurement processes;
  •       You manage the budget for soft facilities and ensure efficient and cost-effective working methods;  
  •       You monitor the quality of services and steer suppliers where necessary;
  •       You advise management and the board on soft facilities and contribute to the development of policy in this area;
  •       You carry out regular inspections and report to the responsible parties;
  •       You act as a point of contact for employees and help them with questions or complaints in the area of facilities matters;
  •       Not only do you identify all change processes within your area of responsibility, you are also the steering factor to guide these changes within the operational teams;
  •       You are able to summarise complex files and communicate them smoothly and correctly to non-experts and operational users;
  •       You will translate operational needs into market-based business requirements in specifications.

Your profile

  •       You have a Master's degree, preferably in Facilities Management, or equivalent through experience;
  •       At least 7 years of relevant experience in Soft Facilities;
  •       As SPOC for Soft Facilities, it is important that you can communicate fluently in the two national languages: Dutch, French and that you have a good knowledge of English;
  •      You have a thorough knowledge of cleaning and catering methodologies and regulations. A knowledge of other Soft Facilities services such as Hospitality, Waste Management, Parking, etc. is definitely a plus;
  •       Knowledge and experience in preparing specifications and contract management is a big plus.
  •      You have experience in continuously optimising processes, introducing new processes and using new technologies/trends in the execution and follow-up of contracts;
  •       Project management skills and ability to manage multiple projects simultaneously;
  •      Strong communication and interpersonal skills to build relationships at different levels of the organisation and with external contractors and partners;
  •       Ability to challenge with respect and persuade with fact-based arguments;
  •       Team player but able to work independently;
  •       Accustomed to working in a fast-paced environment with a clear sense of urgency and drive to meet deadlines;
